Domain name & email address

We will not divulge your email address to any person who is not an employee or authorised contractor working under confidentiality obligations, unless we are required to do so by law.

Please be aware that email transmissions over the internet are not guaranteed to be secure. We cannot accept responsibility for any loss or damage caused by sending sensitive information by email. If you receive a request to make a fund transfer that purports to come from us, please verify the request by telephone before acting on it.

Website usage information

We use software to collect information about how visitors use our website, including which pages are viewed and how users navigate the site. This information is used solely to improve the content and functionality of our website and is not shared with third parties in identifiable form.

Business & personal information

Any information you share with us is kept confidentially. How long we keep it depends on why we hold it. General enquiries are kept only as long as needed to deal with them, and for a reasonable period afterwards (up to two years) if you do not go ahead. Where you become a client, we keep your records for at least six years after our relationship ends, in line with our regulatory, legal and tax obligations, and sometimes longer where a longer period applies.

Analytics and spam protection

We use Google Analytics to understand how visitors use our website. Analytics cookies are only set if you accept them through our cookie banner. Our contact form is protected by Google reCAPTCHA to prevent spam and abuse; reCAPTCHA collects device and interaction information and sends it to Google to tell humans and bots apart. Telephone & email communications

When you call our helpline, we may use Caller Line Identification (CLI) information to improve the efficiency of our service. This information is not shared with third parties outside our organisation.

Complaints handling

If you make a complaint, we will use your personal data to investigate and resolve it, and to assess the quality of our services. We may be required to share complaint-related information with our principal firm (Stonebridge Mortgage Solutions Ltd), the Financial Conduct Authority, or the Financial Ombudsman Service.

Service providers we use

We use a small number of trusted providers who process data on our behalf under contract, and only to provide their service to us:

  • Netlify hosts this website and processes contact-form submissions (via Netlify Forms).
  • Google provides Google Analytics (only with your consent) and reCAPTCHA spam protection on the contact form.

We do not sell your personal data, and we do not use it for third-party advertising.

Government & legal disclosure

We will provide personal information to government or law enforcement authorities when legally required to do so, including in response to a valid warrant, subpoena, or court order.

Our lawful bases for using your data

Under UK GDPR we must have a lawful basis for processing your personal data. Depending on the situation, we rely on:

  • Contract: to provide the advice and services you ask us for, and to arrange mortgage or protection products on your behalf.
  • Legal obligation: to meet our regulatory, anti-money-laundering, tax and record-keeping duties, including those owed to our principal firm and the Financial Conduct Authority.
  • Legitimate interests: to run and improve our business and website, respond to your enquiries and keep our services secure, where your interests and rights do not override ours.
  • Consent: for optional activities such as non-essential cookies and any marketing you have opted into. You can withdraw consent at any time.

Your rights over your personal data

Under UK data protection law you have the right to be informed about how we use your data, to access the data we hold about you, to have inaccurate data corrected, to have your data erased where we are not required to keep it, to restrict or object to our processing, to data portability where processing is based on consent or contract, and to withdraw consent at any time where we rely on it.

To exercise any of these rights, contact us at urvashi@ubmfs.co.uk. We will ask you to verify your identity first and will respond within one month. Some rights are limited by legal, regulatory or tax obligations that require us to keep certain records, typically for six years.

If you are unhappy with how we have handled your personal data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113. We would welcome the chance to put things right directly first.

Where your data is processed

This website is hosted by Netlify and contact-form submissions are handled through Netlify Forms, on infrastructure based in the United States. Google Analytics and reCAPTCHA also involve transfers to Google. Where personal data is transferred outside the UK, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement or equivalent standard contractual clauses, so that your data stays protected to UK standards.

Requesting removal of your information

If you wish to request that we delete the personal information we hold about you, please contact us at urvashi@ubmfs.co.uk. We will ask you to verify your identity before processing any deletion request. Please note that we may be required to retain certain information for legal, regulatory or tax purposes.
